The Accounts Receivable Specialist reports to the AR Manager and will manage and oversee all aspects of accounts receivable (AR) processes, with a particular focus on billing and collections. This role ensures timely and accurate invoicing, efficient cash flow management, and compliance with company policies and industry standards.
Key Responsibilities
- Generate, review, and issue customer invoices accurately and on time
- Apply customer payments (checks, ACH, wire, credit card) to accounts
- Monitor accounts receivable aging and follow up on past-due balances
- Communicate with customers regarding billing questions, discrepancies, and payment status
- Research and resolve invoice short payments, deductions, chargebacks, and disputes
- Reconcile AR subledger to the general ledger and assist with month-end close
- Maintain accurate customer records, credit limits, and payment terms
- Prepare AR reports, aging summaries, and collections status updates
- Assist with audits and provide supporting documentation as requested
- Collaborate with Sales and Customer Service to resolve account issues efficiently

Qualifications & Skills
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred
- 2+ years of Accounts Receivable or related accounting experience
- Strong understanding of invoicing, collections, and payment application
- Proficiency in accounting or ERP systems (e.g., Paycom, NetSuite, SAP, QuickBooks, or similar)
- Advanced Excel skills (VLOOKUP/XLOOKUP, pivot tables preferred)
- Excellent attention to detail and accuracy
- Strong communication and customer service skills
- Ability to prioritize tasks and meet deadlines in a fast-paced environment
