Location: St. Paul, MN
Pay Range: $20.00 – $24.00 per hour
Schedule: Monday through Friday, 7:00 AM – 4:00 PM

Position Summary
The Office Coordinator provides administrative, accounting, and inventory support to ensure smooth daily operations within the office and plant environment. This role combines general office responsibilities with basic accounting functions and inventory support activities, including purchase order processing, stock monitoring, and recordkeeping. Reporting directly to the Office Manager, the Office Coordinator serves as a key support resource for employees, vendors, and management while maintaining confidentiality, accuracy, and alignment with Confluent Holdings’ Core Values and North Star.
Essential Duties & Responsibilities
Accounting & Administrative Support

Process accounts payable and accounts receivable entries, including coding AP invoices

Record incoming customer payments and assist with account reconciliation

Support AR/AP reporting, sales reporting, and audit requests in coordination with leadership

Maintain accurate financial records, filing systems, and documentation in compliance with company policies

Provide general administrative support, including answering phones, greeting visitors, scheduling, preparing correspondence, and managing office supplies

Assist with data entry, reporting, and special projects as assigned by the Office Manager

Handle confidential and sensitive information with discretion and professionalism
Inventory & Purchasing Support

Prepare, process, and distribute purchase orders for inventory, equipment, and operating supplies

Track purchase order status and follow up with vendors regarding delivery schedules or discrepancies

Monitor stock levels of raw materials, die parts, and supplies to support production needs

Maintain accurate inventory records in computerized inventory management systems

Support cycle counting, physical inventory counts, and reconciliation of discrepancies

Provide monthly inventory and purchasing updates to management
General Support

Assist with customer service inquiries and escalate issues when appropriate

Support communication across departments, including production, finance, and external vendors
Qualifications
-
High school diploma or equivalent required; Associate degree in business or related field preferred

1–3 years of experience in office administration, accounting support, or a related role

Strong organizational skills with exceptional attention to detail and accuracy

Ability to handle confidential information with discretion

Excellent communication, interpersonal, and customer service skills

Proficiency in Microsoft Office Suite (Excel, Word, Outlook); ability to learn accounting or ERP systems
Education and/or Experience

High school diploma or equivalent required

Associate degree in business, supply chain, or related field preferred

Prior experience in accounts payable, accounts receivable, or inventory recordkeeping strongly preferred
