Receiving Coordinator 

JOB SUMMARY:

Primary responsibilities encompass fabric and production file maintenance and selected administrative tasks. Review of all orders and release of fabric cutting tickets to offsite (vendors). Create new order files for all new orders released by design.

ESSENTIAL DUTIES AND RESPONSIBILITIES (Including the following: Other duties may be assigned)

  • Process Incoming Fabric including review of all incoming fabric receiving reports for accuracy; review fabric receiving log for missing information, checking EPICOR to ensure correct posting of required fabric against received fabric.
  • Alert customer service and/or sales department for ETA of missing fabric and cutting direction. 
  • Provide customer quotes for backing fabric if required and manage the logistics of completing the backing process.
  • Production/Fabric Release for West Coast and import orders including, printing (2) sets of cutting tickets [one for vendor & one for file] for each line item of an order, entering fabric status on cutting ticket, and attaching to worksheet.
  • Release to vendor for production when all fabrics are received based on account status and requested ship date.
  • Verify fabric amount received and notify customer service if discrepancies are found. 
  • Prioritize orders for which fabric must be expedited.  Work with CSR to obtain additional fabric.
  • New Order File: Finalize the production file for all new order releases by design including documenting date fie released to production from design, collating and review documentation to verify yardage entered into Epicor is correct, confirm all fabric has been received, indicate cutting instructions relating to fabric direction, review credit status of order,  generate cutting tickets attaching sample of fabric, and release to operations for pulling of fabric and shipments to local outsource vendor or Ergoing with instructions on amount of fabric to be sent.
  • Clerical:  Answer and route incoming phone calls, distribute incoming mail, order office supplies monthly.
  • Coordinate return of excess fabric as requested by customers.
  • Coordinate liquidation of excess fabric/leather on a quarterly basis.
  • Comply with all Health and Safety guidelines within the workplace.  Maintain a clean and orderly work area.

  • The ability to analyze fabric information and understand suitability of fabric for production.
  • The ability to prioritize and multi-task simultaneously with rapidly changing priorities and limited resources.
  • Must be able to effectively, and rapidly, communicate with operations, sales, customer service as well as customers in order to maximize results on a daily and weekly basis.
  • Strong organizational skills: the ability to plan and perform assigned duties with minimal supervision or direction.
  • Good communication and interpersonal skills; the ability to interface effectively at all levels both internally and externally

PHYSICAL DEMANDS: 

  •   Able to sit for extended periods of time.
  •   Able to reach with hands or arms
  •   Able to stand, bend and stoop on a regular basis.
  •   Able to lift and carry up to 25 pounds occasionally.

EDUCATION and/or EXPERIENCE:

  • Associate’s degree, vocational or technical school degree preferred.
  • 1-3 years relevant experience and/or training; or an equivalent combination of education and experience.

COMPUTER SKILLS:

  • Proficient in MS Office applications (Word, Excel, Outlook)
  • Knowledge of EPICOR a plus
