Description

We are looking for an Office Assistant to perform various administrative and clerical tasks to support our field services department. You will undertake a variety of activities in the office ranging from filing, customer service, data entry to basic bookkeeping.

Ability to work diligently to help maintain smooth office operations. You must be reliable and hardworking with great communication skills, proven basic accounting experience. The ideal candidate will also be familiar with office equipment and procedures.

Responsibilities

  • Maintain files and records so they remain updated and easily accessible
  • Maintain jobs cost control
  • Undertake basic bookkeeping tasks and issue purchase orders, invoicing, etc.
  • Assist in office management and organization procedures
  • Sort and distribute incoming mail and prepare outgoing mail (envelopes, packages, etc.)
  • Answer the phone to take messages or redirect calls to appropriate colleagues
  • Utilize office appliances such as photocopier, printers etc. and computers for word processing, spreadsheet creation etc.
  • Take minutes of meetings and dictations
  • Monitor stocks of office supplies (paper clips, stationery etc.) and report when there are shortages
  • Assist in making travel arrangements for office personnel.
  • Perform other office duties as assigned

Job Requirements

Requirements and skills

  • Proven accounting experience, preferably as an Accounts Receivable Clerk or Accounts Payable Clerk
  • Familiarity with bookkeeping and basic accounting procedures
  • Computer literacy, competency in MS Office, proficiency in Excel, databases.
  • Hands-on experience with spreadsheets and financial reports
  • Accuracy and attention to detail
  • Aptitude for numbers
  • Working knowledge of office devices and processes
  • Excellent communication skills
  • Customer-service oriented
  • Fast typist with excellent multitasking abilities
  • Very good organizational and multi-tasking abilities
  • Integrity and discretion when working with sensitive employee and customer details
  • High school diploma
  • Able to lift 20 pounds, climb stairs.
