Administrative Sales Representative needed in Westlake Village!

Pay Rate: $22-$27

Schedule: 8:00am-5:00pm

Temp to Hire Position

 

JOB SUMMARY

We’re looking for an Administrative Sales/Marketing Assistant who is highly motivated individual with experience and a passion for connecting with current and future customers. That passion comes through as they engage with management, staff and customers on a daily basis, with the ultimate goal of:

 

DUTIES AND ESSENTIAL JOB TASKS

  • Has previous history in international sales/shipping. 
  • Perform general office duties such as answering phones, copying, scanning, filing, shredding
  • Undertake daily administrative tasks to ensure the functionality and coordination of the department’s activities
  • Data Entry - enter customer orders received by phone, email, and fax into Dynamics / Netsuite database with a high level of accuracy
  • Set up new customers into the system (Dynamics / NetSuite)
  • Manage International orders – take and process orders, accurately complete paperwork, including customs paperwork appropriate for each country. Track order through delivery.
  • Support executives in organizing various projects
  • Create, organize, coordinate, and complete marketing mailings
  • Work with Graphic Designer
  • Keep records of customer interactions and transactions, recording details of inquiries, complaints, and comments, as well as actions taken
  • Answer incoming customer calls and ensure adherence to quality standards, deadlines and proper procedures, correcting errors or problems
  • Prepare reports, memos, letters, approvals, and other documents, using company software
  • Schedule appointments using Outlook Calendar
  • Complete marketing requests such as assembly mailings as needed for advertising efforts
  • Other duties as assigned

 

Job Requirements

QUALIFICATIONS

  • Minimum of 3-5 years of sales, marketing, administrative or customer service experience
  • Excellent verbal communication and telephone skills
  • Have a friendly and pleasant manner
  • Proficient with Microsoft Office (Excel, Word, Power Point, Outlook)
  • Experience with Dynamics or NetSuite a plus
  • Good understanding of office management and marketing principles
  • Problem solving skills and good attention to details
  • Must be able to deliver excellent customer service
  • Must be professional and prompt with the ability to multi-task and switch gears with limited noticed
  • Positive attitude
  • Must be able to work with minimum supervision
  • Must be able to interface well with customers and other employees
